Below is a working invoice with a sample handyman job filled in. Type over anything, add your business details once (they're saved in this browser and shared with the estimate maker), and print it. Jump to what a handyman invoice should include or the sample text to send with it.
1. Your business
2. Customer and job
3. Invoice number and dates
4. Line items and totals
Leave Qty blank for a flat price line, like a trip charge. Units are up to you: ea, hr, sq ft, ln ft, visit, lot.
5. How the customer can pay
This tool doesn't take payments or store card numbers. It only prints what you type here, like who to make a check out to, your Zelle or Venmo, or a card payment link from the processor you already use.
6. Notes and terms
7. Your invoice
Preview. This is what prints. Empty fields are left off.
8. Send it
Save the invoice as a PDF, then send it with one of these. Your customer's first name, the job, the balance due, your business, and your name are filled in from the invoice. Anything still in [brackets] is yours to finish.
Still unpaid? Make reminders. The free payment reminder maker starts from this invoice and fills in friendly, firm, and final-notice texts with your dates and the balance due.
Still unpaid after the friendly reminder? The payment reminder maker and the payment reminders page have the firm and final versions. For the job-done summary and thank-you texts, see job wrap-up and invoice. After they pay, ask for a review with the free review link and QR code generator. Scope changed mid-job? Put it in writing first with the free change order maker. See all seven on the free tools page.
What a handyman invoice should include
Every invoice needs your business details, the customer, an invoice number, the dates, the line items, the total, and the balance due. The invoice maker above handles those. These are the lines that matter most for handyman work:
- One line per task. Customers remember the list they gave you. Matching it line for line answers "what did I pay for?" before they ask.
- Time or a flat price per task. Bill hours for open-ended work and a flat price for things you do often, like hanging a fan or a door.
- Materials and your markup. List materials as their own line. Many handymen add 10% to 20% over the receipt to cover the store run and returns. You can show it ("receipts $46.00 + 15%") or price materials at your marked-up number. Either way, keep the receipts.
- Trip charge or minimum. If you have one, list it, and say on your quote when it applies.
- Customer-supplied parts. Note when the customer bought the part, like a fan or faucet. It makes clear your warranty covers your work, and the maker covers the product.
- License or registration number. Some states and cities require a handyman or contractor license above a dollar limit. If you have one, add the number.
Sample text to send with a handyman invoice
Save the invoice as a PDF, then send it with a short text like this one. Step 8 above fills it in from your invoice. Here it is with blanks:
Invoice text (handyman)Text
Hi [first name], thanks for having me out on [date]. Here's invoice #[number] for the [job]: [$], due [due date]. Each item from your list has its own line, and materials are listed separately. You can pay [methods]. Got more on the list? Text me and I'll set up the next visit. [your name], [business], [phone]
Tip: Send it the day you finish. Attach the PDF you saved with Print / Save as PDF, and put the ways you take payment where [methods] is.
Before the job, price it with the free estimate maker, and start this invoice from that estimate with one click. If the invoice isn't paid by the due date, the free payment reminder maker starts from it and fills in friendly, firm, and final reminders.
Quoting the next job? The free handyman estimate template starts with a sample repair list, 4 items. Edit it, then click "Start from my last estimate" above to turn it into this invoice.
Invoice templates for other trades
Each one starts with that trade's usual line items: plumbing, HVAC, electrical, landscaping, house cleaning. See them all on the invoice templates page, or use the blank invoice maker.
Handyman invoice questions
What should a handyman invoice include?
Your business name, phone, and any license or registration number, the customer and job address, an invoice number and date, and the due date. Then one line per task with hours or a flat price, materials on their own line, any trip charge, the total, any deposit paid, and the balance due. Note any parts the customer supplied, and finish with your warranty and how to pay.
How much should a handyman mark up materials?
Many handymen add somewhere between 10% and 20% to the receipt price to cover the store trip, picking the right part, and returns. Some charge cost plus a flat shopping fee instead. Pick one way, put it in your quote, and use the same way on the invoice. The free pricing calculator on this site can work out the markup for you.
Should a handyman charge by the hour or by the job?
Both work. Hourly is fair for open-ended repairs where you don't know what you'll find. A flat price per task is easier for customers on work you do often, like mounting a TV or swapping a faucet. The invoice handles both: put hours in Qty with "hr" as the unit, or leave Qty blank for a flat price.
Do I need a license to do handyman work?
It depends on your state and the size of the job. Many states let handymen do small jobs under a dollar limit without a contractor license and require one above it, and electrical, plumbing, and gas work usually need a licensed pro. Check your state's contractor board before you take bigger jobs.
