Below is a working invoice with a sample landscaping job filled in. Type over anything, add your business details once (they're saved in this browser and shared with the estimate maker), and print it. Jump to what a landscaping invoice should include or the sample text to send with it. For the texts before and during the job, see the landscaping text templates.

This invoice starts with a sample landscaping job. The names are blank and the prices are made up. Change every number to yours, or clear the sample and start blank.

Scope changed mid-job? Adds your last change order from the change order maker as a line item, before tax.

1. Your business

2. Customer and job

3. Invoice number and dates

4. Line items and totals

Leave Qty blank for a flat price line, like a trip charge. Units are up to you: ea, hr, sq ft, ln ft, visit, lot.

5. How the customer can pay

This tool doesn't take payments or store card numbers. It only prints what you type here, like who to make a check out to, your Zelle or Venmo, or a card payment link from the processor you already use.

6. Notes and terms

These lines are an example, not legal advice. Rules for invoices, late fees, and interest vary by state and city. If you charge a late fee, it generally needs to be in your written terms before the work starts, and many places limit how much it can be. Check your local rules and change the terms to fit your business.

7. Your invoice

Preview. This is what prints. Empty fields are left off.

8. Send it

Save the invoice as a PDF, then send it with one of these. Your customer's first name, the job, the balance due, your business, and your name are filled in from the invoice. Anything still in [brackets] is yours to finish.

Still unpaid? Make reminders. The free payment reminder maker starts from this invoice and fills in friendly, firm, and final-notice texts with your dates and the balance due.

Still unpaid after the friendly reminder? The payment reminder maker and the payment reminders page have the firm and final versions. For the job-done summary and thank-you texts, see job wrap-up and invoice. After they pay, ask for a review with the free review link and QR code generator. Scope changed mid-job? Put it in writing first with the free change order maker. See all seven on the free tools page.

What a landscaping invoice should include

Every invoice needs your business details, the customer, an invoice number, the dates, the line items, the total, and the balance due. The invoice maker above handles those. These are the lines that matter most for landscaping work:

Sample text to send with a landscaping invoice

Save the invoice as a PDF, then send it with a short text like this one. Step 8 above fills it in from your invoice. Here it is with blanks:

Invoice text (landscaping)Text

Hi [first name], it's [your name] at [business]. Here's invoice #[number] for [job]: [$], due [due date]. It lists each visit by date, plus the extras we did this month. You can pay [methods]. Your next visit is [day]. Questions? Call or text [phone].

Tip: Send it the day you finish. Attach the PDF you saved with Print / Save as PDF, and put the ways you take payment where [methods] is.

Before the job, price it with the free estimate maker, and start this invoice from that estimate with one click. If the invoice isn't paid by the due date, the free payment reminder maker starts from it and fills in friendly, firm, and final reminders. Landscaping invoice questions

What should a landscaping invoice include?

Your business name and phone, the customer and property address, an invoice number and date, the service period, and the due date. Then the regular service with each visit date, every extra on its own line, materials by the unit, the total, any deposit paid, and the balance due. Add how you handle skipped visits and how the customer can pay.

How do I invoice recurring lawn care?

Most lawn care companies bill once a month for that month's visits, or charge a flat monthly amount over the season. Put the month and visit dates on one line, priced per visit, and list extras separately. Pick Net 15 or Net 30 terms and send the invoice on the same day each month so customers know when to expect it.

Should I charge for visits skipped because of rain?

Most per-visit services don't bill a skipped visit, and say so on the invoice. If you charge a flat monthly or seasonal price, spell out in your agreement how skipped visits are handled, such as making them up later in the week.

How do I bill for mulch, plants, and other materials?

List them by the unit you bought them in: cubic yards of mulch, plants by pot size and count, square feet of sod. Some landscapers price materials installed, with labor included, and others list materials and labor apart. Choose one and keep it the same on the estimate and the invoice.
