1. Your business

2. Customer and job

3. Estimate number and dates

4. Line items and totals

Leave Qty blank for a flat price line, like a trip charge. Units are up to you: ea, hr, sq ft, ln ft, visit, lot.

5. Notes and terms

These lines are an example, not legal advice. Rules for estimates, deposits, and home improvement contracts vary by state and city. Some places require certain wording, your license number, or a cancellation notice on the paperwork. Check your local rules and change the terms to fit your business.

6. Your estimate

Preview. This is what prints. Empty fields are left off.

7. Send it

Save the estimate as a PDF, then send it with one of these. Your customer's name, the job, the total, and the valid-until date are filled in from the estimate. Anything still in [brackets] is yours to finish.

Heard nothing back? Use the three-text quote follow-up plan. Not sure your price is right? Check it with the free pricing calculator before you send. For reminders, invoices, and review requests with your details filled in, use the free text generator.

Estimate questions, answered plainly

What should I put on an estimate?

Your business name, phone, and email, plus your license number if your state or city requires it on paperwork. Then the customer's name, the job address, an estimate number, and the date. Describe the work in plain words, list the line items with quantities and prices, and show any discount, the tax, and the total. Finish with how long the price holds, what's included and what isn't, and how payment works: the deposit and when the balance is due.

What's the difference between an estimate and a quote?

People use the words loosely. Usually an estimate is your best guess at the cost, and the final bill can change if the job turns out different. A quote is usually a fixed price for exactly the work listed. Whichever word you use, say on the paper whether the price is fixed or can change, and what would change it. Some states have specific rules for written estimates on home repair work, so check yours.

How long should an estimate be valid?

30 days is common for repair and replacement work, and it's the default here. Go shorter, like 7 to 15 days, when material or equipment prices are moving. Small jobs priced mostly on labor can go longer. Always put the valid-until date on the estimate. It protects you if prices go up, and it gives you an honest reason to follow up.

Should I ask for a deposit?

Many contractors take a deposit to hold a spot on the schedule and cover materials, often somewhere between 10% and 50%. Some states cap deposits on home improvement jobs or require specific wording, so check your local rules before you pick a number. The tool lets you enter a percent or a flat amount and shows the balance due.

How do I save it as a PDF?

Click Print / Save as PDF and pick "Save as PDF" as the printer. On an iPhone, tap Print, then pinch out on the preview and use the share button to save or send the PDF. On Android, pick "Save as PDF" from the printer list.

Is my information private?

Yes. Everything you type, including your logo, stays in this browser on this device. Nothing is uploaded or sent anywhere. Clearing your browser data clears your saved estimate too.
