The boxes start with a made-up example business so you can see how it works. Swap in your own numbers.
1. Your break-even and recommended hourly rate
| Billable hours per year | |
| True labor cost per tech hour (wage plus burden) | |
| Labor cost per billed hour | |
| Overhead per billed hour | |
| Break-even hourly rate | |
| Recommended hourly rate |
2. Price a job and check the margin
| Labor | |
| Materials with markup | |
| Fees | |
| Price to quote | |
| Full cost of the job (hours at break-even, materials and fees at cost) | |
| Net margin on the quote | |
| Lowest price that still hits your target margin |
3. Markup and margin converter
Markup is what you add on top of cost. Margin is the share of the price you keep. They aren't the same number: a 50% markup is a 33.3% margin.
Change either box and the other one updates. Margin = markup / (1 + markup). Markup = margin / (1 - margin).
How the math works
- Billable hours = techs × paid hours per week × weeks × billable efficiency.
- Labor cost per billed hour = wage × (1 + burden) / efficiency, because you also pay for the hours you can't bill.
- Overhead per billed hour = yearly overhead / billable hours.
- Break-even rate = labor cost per billed hour + overhead per billed hour.
- Recommended rate = break-even / (1 - target margin). Adding 15% to break-even only gets you about a 13% margin. Dividing by 0.85 gets a true 15%.
- Job margin = (price - full cost) / price. Green clears your target, amber is profitable but under target, red loses money.
