Three rules that keep you out of trouble
- Never let the AI make up prices, warranties, timelines, or code requirements. Give it your numbers. If it adds something you didn't say, delete it.
- Leave out private details you wouldn't want stored somewhere else: card numbers, gate codes, alarm codes. First names are enough.
- Check your licensing and local rules for anything about permits, code, or safety. The AI doesn't know your county.
Set up once: your Voice Card
Fill this in, then paste it at the top of any AI chat, or save it in your AI tool's "custom instructions" or "memory" setting. After that, drafts sound like you instead of a robot.
Your business Voice CardAI setup
MY BUSINESS VOICE CARD Business name: [name] Trade(s): [e.g. residential HVAC and plumbing] Service area: [towns/counties] Years in business: [number] Who usually signs messages: [first name], [role] Customers: [mostly homeowners / property managers / both] How we sound: [pick 3: friendly, direct, calm, old-school, upbeat, no-nonsense] Words we use: [e.g. "folks," "swing by," "no problem"] Words we never use: [e.g. "valued customer," "synergy," "per my last email"] Things we never promise: [e.g. exact arrival times, same-day service] Service-call fee: [$ and what it covers] Warranty: [labor/parts terms, or "ask me"] Payment methods: [card, check, financing through ___] Review link: [Google review link] Booking link or phone: [link/number] Rules for you (the AI): Write in plain, short sentences. Texts under 60 words unless I ask. Don't invent prices, warranties, timelines, discounts, or code requirements. If something is missing, ask me instead of guessing.
Quotes and pricing
Price check before you sendAI prompt
Help me check my price on this job before I send the quote. Use only my numbers. If a number is missing, ask me for it instead of guessing. Show the math in a short table: materials with my markup, labor hours times my hourly rate, permits or subcontractors, a share of overhead, and the final price at my target profit margin. Then tell me in two sentences if anything looks low or missing. Job: [describe the job] Materials and cost: [list] Markup on materials: [e.g. 25%] Labor: [hours] at $[rate] per hour Permits or subs: [list or none] Overhead: [per job or per hour] Target profit margin: [e.g. 20%]
Tip: Double-check the totals with a calculator. The AI can make math mistakes.
Scope of work for a bigger jobAI prompt
Write a scope of work for this job that I can attach to my quote. Use numbered steps in the order we'll do them, then a short "Customer responsibilities" list and a short "Not included" list. Plain language, no legal words. Only use the details I give you. Job: [e.g. "Replace 2-ton AC condenser and evaporator coil, new line set, new pad, thermostat swap"] Details: [access notes, timing, permits, cleanup, anything else] Customer responsibilities: [e.g. clear path to attic, pets put away] Not included: [e.g. drywall repair, electrical panel upgrade]
Reply to a customer's pushback on a quoteAI prompt
Here's a quote I sent: [paste]. The customer replied: [paste]. Using my Voice Card, write a reply under 80 words that answers their concern honestly, doesn't lower my price, and ends with one clear next step. Then give me a second, warmer version.
Follow-ups and scheduling
Who do I follow up with today?AI prompt
Below is a list of my open quotes copied from my tracker. Today's date is [date]. Sort them into three groups: follow up today, this week, and can wait, based on the date sent, the next follow-up date, and the follow-up number. For each follow up today item, write one text under 40 words using the customer's first name and the job. Friendly, no pressure, no made-up deadlines. My quotes: [paste rows: customer, job, amount, date sent, next follow-up date, follow-up #, notes]
Tip: Copy rows from your tracker or list and paste them in. Remove phone numbers first.

Reply to this week's reviews in one goAI prompt
Here are [number] Google reviews for my [trade] business. Write a short public reply for each one. For any review under 4 stars, stay calm, apologize for their experience, and invite them to call [phone]. Label each reply with the reviewer's first name. 1. [paste review] 2. [paste review] 3. [paste review]
Tip: Check each reply before you post it.
Check a message against Google's rulesAI prompt

List anything that breaks a rule and suggest a fix. Then give me a clean version.
Message: [paste message]Tip: AI tools sometimes add lines like 'enjoy 10% off as a thank-you.' This prompt catches that. Delete anything like it.
Make a template sound like youAI prompt
Here are 3 texts I've actually sent to customers, so you can learn how I write: 1. [paste] 2. [paste] 3. [paste] Rewrite the template below so it sounds like me: same length, same level of formality, same kind of words. Keep the [placeholders] and the link exactly as they are. Template: [paste template]
Tip: Run your two go-to messages through this once, then save the results in Request Messages.

Fix a stiff message
Same facts, two texts. The first sounds like a form letter; the second sounds like a person.
Before: the stiff oneExample
Dear homeowner, we wanted to follow up regarding the estimate provided on Tuesday. Please advise at your earliest convenience if you wish to proceed. Thank you for your consideration.
After: the human oneExample
Hi Sarah, checking in on the water heater quote from Tuesday. Any questions? Happy to hop on a quick call.
Rewrite promptAI prompt
Rewrite this like a tradesperson texting a homeowner: short, plain, no exclamation points. Keep every fact.
Text: [paste your draft]Tip: Then read it and send it yourself.
Make it stick
- Pick three prompts you'd use this week, not all of them.
- Save your favorites in your phone's notes, titled by job (missed call, quote follow-up, review ask, change order).
- When a draft comes out great, save that too. Next time, paste it in and say "write one like this for [new job]."
