What every estimate needs
- Your business details: name, phone, email, and your license number if your state requires it.
- The customer and job address, so the estimate matches the job in your records and theirs.
- An estimate number, the date, and a valid-until date, so a price from months ago doesn't come back to bite you when material costs change.
- What you'll do, in plain words, plus line items with quantities, units, and prices.
- The math: subtotal, any discount, tax, the total, the deposit, and the balance due on completion.
- What's included and what isn't, and what happens if you find a problem you couldn't see.
- How to approve: a signature line, or a reply of "approved" by text or email.
From estimate to paid
- Price it with the pricing calculator so the number covers your costs.
- Quote it with one of the templates above, then follow up with the quote follow-up texts.
- Put changes in writing with the change order maker if the job grows.
- Bill it with the matching invoice template or the invoice maker. "Start from my last estimate" brings the line items over.
- Follow up with the payment reminder maker if it isn't paid by the due date.

Estimate template questions
Are these estimate templates free?
Yes. Every template on this page is free to use in your business, with no signup and no watermark. They run in your browser, and nothing you type is uploaded.
Can I add my logo and license number?
Yes. Add your business name, phone, email, license number, and logo once. They're saved in this browser and fill in on every estimate template, the blank estimate maker, and the invoice maker. Estimate numbers are shared too, so two trade pages won't hand out the same number.
What's the difference between an estimate and an invoice?
An estimate comes before the work and tells the customer what the job should cost. An invoice comes after the work and asks for payment. Edit an estimate here, then click "Start from my last estimate" in the invoice maker or a trade invoice template, and the customer, job, and line items come over.
My trade isn't listed. What should I use?
Use the blank estimate maker. It has sample line items for ten trades, including pest control and pool and spa, and you can type in any line items you like.
