Quote follow-up texts that don't sound pushy

You drove out, measured, priced it, and sent the quote. Then nothing. Some owners never follow up because they don't want to seem desperate; others call every other day. There's a middle path: a short, planned series of texts that checks in, makes it easy to say yes or no, and then politely closes the loop. An unanswered quote is often an "I meant to get back to you."

Why a plan works better than winging it

When you follow up "whenever you remember," you forget the ones that matter most, and the ones you do send get written at 9 p.m. Decide once how many times you'll follow up and what each message says. The plan below uses three texts over about ten to fourteen days. Adjust the timing to your trade: a same-week repair moves faster than a roof replacement.

The three texts

Text 1: the check-in (about 2 days after)Text

Hi [first name], just checking you got the quote for [job]. Any questions I can answer?

Tip: Short on purpose. Don't add a discount or a sales pitch here. A lot of people just need a nudge.

Text 2: the useful nudge (about 5 to 7 days after)Text

Hi [first name], following up on the [job] quote. [Useful line, e.g. "My schedule is filling up for next week, so if you want it done before [date], let me know and I'll hold a spot."]

Tip: Only say it if it's true. Other useful lines: "If it helps, I can walk you through the options on a quick call." / "If the price is the sticking point, let me know. There may be a way to adjust the scope." / "Happy to send a short summary you can share with anyone else who's deciding."

Text 2, email versionEmail

Subject: Any questions about your [job] quote?
Hi [first name],
Following up on the quote I sent on [date] for [job]. If timing or budget is the holdup, let me know. I may be able to [adjustment, e.g. split the work into two visits or suggest a lower-cost option].
Either way, thanks for considering us.
[your name]
[business]
[phone]

Tip: Only offer adjustments you're willing to make.

Text 3: closing the loop (about 10 to 14 days after)Text

Hi [first name], I don't want to keep bugging you, so this is my last follow-up on the [job] quote. If anything changes, just reply here. The quote's good until [date]. Thanks for considering us.

Tip: Most people skip this one, and it's often the one that gets a reply. After this, stop. If it's a job they'll still need, like a tune-up or an aging roof, move them to a "check back next season" list.

When they answer

They said noText

Thanks for letting me know, [first name]. I appreciate the straight answer. If it's okay to ask: was it mostly price, timing, or something else? It helps me get better. Either way, we're here if you need us down the road.

Tip: A short, gracious reply keeps the door open. Write the reason down; after a few months you'll see patterns.

Hearing "your price is higher" or "I need to think about it"? Those replies are on the price objections page.

A notes app, a spreadsheet, or paper in the truck works. Once a week, send whatever's due. If you'd like a ready-made version, the free Quote & Follow-Up Tracker for Notion has a "Follow up today" view and these texts built in.

Let AI personalize them

AI prompt: three follow-ups for one quoteAI prompt

Write three short follow-up texts for a quote the customer hasn't answered. Text 1 goes out 2 days after the quote, text 2 after 5 days, text 3 after 10 days. Each under 50 words. Friendly, no pressure, no fake deadlines. Text 3 should politely close the loop ("I'll take you off my follow-up list, reach out any time").

Customer: [first name]
Job: [what you quoted]
Anything they mentioned: [e.g. "wanted to talk to spouse," "comparing a couple quotes"]

Tip: If the AI adds a discount, a deadline, or a promise you didn't give it, take it out.
