Preview. This is what prints. Empty fields are left off.
8. Send it
Save the invoice as a PDF, then send it with one of these. Your customer's first name, the job, the balance due, your business, and your name are filled in from the invoice. Anything still in [brackets] is yours to finish.
Still unpaid? Make reminders. The free payment reminder maker starts from this invoice and fills in friendly, firm, and final-notice texts with your dates and the balance due.
Got paid? Make a receipt. The free receipt maker starts from this invoice and makes a one-page receipt for cash, check, card, Zelle, or bank transfer, marked paid in full or with the balance remaining, plus a signature line.
Still unpaid after the friendly reminder? The payment reminder maker and the payment reminders page have the firm and final versions. For the job-done summary and thank-you texts, see job wrap-up and invoice. After they pay, ask for a review with the free review link and QR code generator. Scope changed mid-job? Put it in writing first with the free change order maker. See all eight on the free tools page.
What a roofing invoice should include
Every invoice needs your business details, the customer, an invoice number, the dates, the line items, the total, and the balance due. The invoice maker above handles those. These are the lines that matter most for roofing work:
- Roof size in squares, matching the estimate. Use the same squares and line names as your estimate, so the customer can check the invoice against what they signed.
- Tear-off, by layer. Each layer on its own line at the price you quoted. If you found a layer you didn't quote, bill it from a signed change order.
- Decking: the sheets you actually used. Bill the sheets you replaced at the per-sheet price from your estimate, and say how many of the allowance sheets that was. Unused sheets come off the bill.
- Permit and inspection. The permit at what the city or county charged, the permit number in the job notes, and whether the final inspection passed.
- Deposit already paid. Type the deposit in the deposit box, and the invoice shows the total, the deposit, and the balance due. Customers look for their deposit first.
- Dumpster, cleanup, and nail sweep. Bill the dumpster as quoted and mention the daily magnetic nail sweep, so the customer knows the cleanup was part of the job.
- Warranties. The shingle maker's warranty, and how to register it if the maker asks for that, plus your workmanship warranty in years.
Sample text to send with a roofing invoice
Save the invoice as a PDF, then send it with a short text like this one. Step 8 above fills it in from your invoice. Here it is with blanks:
Invoice text (roofing)Text
Hi [first name], it's [your name] with [business]. Thanks again for choosing us for your [job]. Invoice #[number] is attached: [$] after your deposit, due [due date]. We used [number] of the [number] decking sheets in the allowance, and you're billed only for those. You can pay [methods]. Questions? Call or text [phone].
Tip: Send it the day you finish. Attach the PDF you saved with Print / Save as PDF, and put the ways you take payment where [methods] is.
Before the job, price it with the free estimate maker, and start this invoice from that estimate with one click. Roofing invoice questions
What should a roofing invoice include?
Your business name, phone, and license number if your state requires one, the customer and property address, an invoice number and date, and the due date. Then the roof size in squares, tear-off by layer, shingles, underlayment and flashing, the decking sheets actually replaced, the permit, the dumpster, the total, the deposit already paid, and the balance due. Finish with the shingle and workmanship warranties and how to pay.
How do I bill a decking allowance on the final invoice?
Bill the sheets you actually replaced at the per-sheet price from your estimate, and say how many of the allowance sheets that was. In the sample, the estimate allowed up to 6 sheets at $85 and the crew used 4, so the invoice bills 4 sheets ($340) and the total comes in $170 under the estimate. If you went past the allowance, bill the extra sheets the customer approved and keep photos of the rotted deck.
How do I show the roofing deposit on the invoice?
Type it in "Deposit or payments already received." The invoice shows the total, subtracts the deposit, and shows the balance due in bold. The sample took a 30% deposit of $4,470.60 on a $14,902.00 estimate, so the final invoice of $14,732.00 shows $10,261.40 due.
When should a roofer send the final invoice?
Most roofers send it the day the roof is finished and cleaned up, or right after the final inspection passes, with the balance due on receipt or within a few days. Put when the balance is due on the estimate, so the invoice matches what the customer agreed to. Some states have rules on payment schedules for home improvement work, so check yours.
