6. Send it
Save the receipt as a PDF, then send it with one of these. The messages change with the payment type. Your customer's first name, the job, the amounts, your business, and your name are filled in from the receipt. Anything still in [brackets] is yours to finish.

What a contractor receipt should include
A receipt is the customer's proof they paid and your record of what came in. Put these on every one. The receipt maker above has a place for each:
- Your business details. Name, phone, email, and your license number if your state or city wants it on paperwork.
- A receipt number. Its own number (R-1001, R-1002...), so you can find it later. Put the invoice number on it too.
- The date you were paid. The day the money came in, which may not be the invoice date or the day you did the work.
- Who paid, and for what. The customer's name, the job, and the job address.
- The amount and how it was paid. Cash, check with the check number, card with only the last 4 digits, or the Zelle, Venmo, or bank transfer reference. Never write a full card number on a receipt.
- Paid in full, partial, or deposit. Say which. For a partial payment or deposit, show the job total, what was paid before, and the balance remaining.
- Who received it. Your name and a signature line. For cash, sign it in front of the customer and keep a copy.

Receipt questions, answered plainly
What should a contractor receipt include?
Your business name and phone, plus your license number if your state wants it on paperwork. Then a receipt number, the date you were paid, who paid, the job and the invoice number it's for, the amount, and how they paid: cash, the check number, the last 4 digits of a card, or the Zelle, Venmo, or bank reference. Say whether it's paid in full, a partial payment, or a deposit, show the balance remaining, and add who received it with a signature line.
What's the difference between an invoice and a receipt?
An invoice asks for payment. A receipt confirms you were paid. Send the invoice when the work is done (or at a milestone), and the receipt when the money comes in. If you made the invoice with the free invoice maker in this browser, "Start from my last invoice" copies the customer, job, invoice number, total, and balance over, so the receipt matches the invoice.
How do I write a receipt for a deposit or a partial payment?
Pick Deposit or Partial payment, enter the amount you received, and add the job or invoice total plus anything the customer paid before. The receipt shows the balance remaining. A deposit receipt also says the deposit will be credited on the final invoice. Made an estimate here with a deposit? "Deposit from my last estimate" fills it in.
Do I need to give a receipt for a cash payment?
It's a good habit for every payment, and most of all for cash, because cash leaves no bank record. A signed receipt is the customer's proof they paid and your record of what came in. Keep a copy (print one or save the PDF) with your books. What you have to keep and for how long depends on your situation, so ask your accountant or tax preparer.
