What every receipt needs
- Your business details. Name, phone, email, and your license number if your state or city wants it on paperwork.
- A receipt number. Its own number (R-1001, R-1002...), so you can find it later. Put the invoice number on it too.
- The date you were paid. The day the money came in, which may not be the invoice date or the day you did the work.
- Who paid, and for what. The customer's name, the job, and the job address.
- The amount and how it was paid. Cash, check with the check number, card with only the last 4 digits, or the Zelle, Venmo, or bank transfer reference. Never write a full card number on a receipt.
- Paid in full, partial, or deposit. Say which. For a partial payment or deposit, show the job total, what was paid before, and the balance remaining.
- Who received it. Your name and a signature line. For cash, sign it in front of the customer and keep a copy.
From invoice to receipt
- Bill it with the invoice maker or an invoice template.
- Follow up with the payment reminder maker if it isn't paid by the due date.
- Give a receipt with one of the templates above when the money comes in. Each one can start from your last invoice, or from your last estimate for a deposit.
- Ask for the review with the review link generator. The paid-in-full email in each receipt page has a spot for your link.

Receipt template questions
Are these receipt templates free?
Yes. Every template on this page is free to use in your business, with no signup and no watermark. They run in your browser, and nothing you type is uploaded.
What's the difference between the trade templates?
They all use the same receipt maker. Each one starts with a sample payment that fits the trade, like a check for a plumbing repair, a card for an HVAC repair, a deposit by bank transfer for an electrical job, cash for a handyman visit, a partial payment by Zelle for landscaping, and Venmo for house cleaning. Change any of it to match the payment you received.
Will receipts from different trade pages repeat a number?
No. Every receipt page in this browser suggests the next number after the last one you printed or downloaded, starting at R-1001. You can type your own numbers too.
Do I need to keep copies of my receipts?
It's a good habit. A copy of each receipt shows what came in, when, and for which job, which helps at tax time and if a customer has a question later. How long to keep records depends on your situation, so ask your accountant. General information, not tax or legal advice.
