What a HVAC receipt should include
Every receipt needs your business details, a receipt number, the date paid, who paid, the amount, and how they paid. The receipt maker above handles those. These matter most for HVAC work:
- Card: last 4 digits only. Write "Card ending in 4821," never the full number, the expiration date, or the security code.
- The invoice number. The invoice has the equipment model, serial number, and refrigerant added. The receipt points back to it.
- The date paid. Warranty claims often ask for the repair date and proof of payment. A dated receipt covers both.
- Paid in full or the balance left. If the customer financed part of a replacement, show what they paid today and what's left.
- Your tune-up plan. A line in the notes about your maintenance plan reminds them who to call next season.

HVAC receipt questions
What should an HVAC receipt include?
Your business name, phone, and license number, a receipt number, the date paid, the customer's name and the service address, the job and invoice number, the amount, and how they paid. For a card, list only the last 4 digits. Mark it paid in full or show the balance remaining, add your warranty line, and sign it.
Can I write the full card number on a receipt?
No. Print only the last 4 digits, like "Card ending in 4821." Never write down the full card number, expiration date, or security code. This tool keeps only the last 4 digits even if more are typed, and it doesn't take payments.
Do customers need a receipt for HVAC warranty claims?
Manufacturers often ask for proof of the install or repair date and the model and serial number. The invoice has the equipment details, and a dated receipt shows it was paid. Tell customers to keep both together.
How do I make a receipt for a financed system?
Make the receipt for what the customer paid you today, pick Partial payment, and enter the full job total and anything paid before. If a finance company pays the rest, note that in the Details box, and make a second receipt when that payment arrives.
