1. Your business
2. Customer and job
3. Invoice number and dates
4. Line items and totals
Leave Qty blank for a flat price line, like a trip charge. Units are up to you: ea, hr, sq ft, ln ft, visit, lot.
5. How the customer can pay
This tool doesn't take payments or store card numbers. It only prints what you type here, like who to make a check out to, your Zelle or Venmo, or a card payment link from the processor you already use.
6. Notes and terms
7. Your invoice
Preview. This is what prints. Empty fields are left off.
8. Send it
Save the invoice as a PDF, then send it with one of these. Your customer's first name, the job, the balance due, your business, and your name are filled in from the invoice. Anything still in [brackets] is yours to finish.
Still unpaid? Make reminders. The free payment reminder maker starts from this invoice and fills in friendly, firm, and final-notice texts with your dates and the balance due.
Still unpaid after the friendly reminder? The payment reminder maker and the payment reminders page have the firm and final versions. For the job-done summary and thank-you texts, see job wrap-up and invoice. After they pay, ask for a review with the free review link and QR code generator. Scope changed mid-job? Put it in writing first with the free change order maker. See all seven on the free tools page.
What a electrical invoice should include
Every invoice needs your business details, the customer, an invoice number, the dates, the line items, the total, and the balance due. The invoice maker above handles those. These are the lines that matter most for electrical work:
- License number. Most states license electricians, and many want the number on contracts and invoices. Type it in the License # box so it prints under your name.
- Permit and inspection fees. List the permit as its own line at what the city or county charged, and put the permit number in the job notes. Bill any time spent pulling it or meeting the inspector as a separate labor line.
- Materials with sizes and ratings. Breaker size and type (50 A 2-pole GFCI), wire gauge and length (45 ft of 6/3 NM-B), devices and boxes. Customers and inspectors both read these.
- Labor. Hours and your rate, or a flat price for the job. If a helper was there, list their hours on a separate line at their rate.
- Panel and circuit notes. Which panel and breaker space you used and how you labeled it. The next electrician will be glad you did.
- Inspection status. Say whether the inspection passed, is scheduled, or still needs to be booked, and what happens if the inspector asks for changes.
Sample text to send with a electrical invoice
Save the invoice as a PDF, then send it with a short text like this one. Step 8 above fills it in from your invoice. Here it is with blanks:
Invoice text (electrical)Text
Hi [first name], it's [your name] with [business]. The [job] is done. Invoice #[number] is attached: [$], due [due date]. The permit fee is on its own line at what the city charged, and the inspection is [scheduled for / passed on] [date]. You can pay [methods]. Questions? Call or text [phone].
Tip: Send it the day you finish. Attach the PDF you saved with Print / Save as PDF, and put the ways you take payment where [methods] is.
Before the job, price it with the free estimate maker, and start this invoice from that estimate with one click. Electrical invoice questions
What should an electrical invoice include?
Your business name, phone, and electrical license number, the customer and job address, an invoice number and date, and the due date. Then the permit fee, each material with its size or rating, and labor on separate lines, a short note on the circuit and panel, the inspection status, the total, any deposit paid, and the balance due. Finish with your warranty and how to pay.
How do I show permit fees on an electrical invoice?
As a separate line at the amount the permit office charged, with the permit number in the job notes. If you charge for your time to pull the permit or meet the inspector, make that its own labor line so the customer can see the fee and your time apart.
Should I put my electrical license number on the invoice?
In many states, yes. Licensed trades often have to show the license number on contracts, estimates, and ads, and putting it on invoices too is common. Rules vary by state, so check with your licensing board. Type it in the License # box and it prints under your business name.
Should I bill a helper's hours separately?
If you bill by the hour, yes. Put your hours and your helper's hours on separate lines at their own rates. It's easier for the customer to follow than one blended number, and it matches how you priced the job.
