Below is a working invoice with a sample plumbing job filled in. Type over anything, add your business details once (they're saved in this browser and shared with the estimate maker), and print it. Jump to what a plumbing invoice should include or the sample text to send with it. For the texts before and during the job, see the plumber text templates.

Scope changed mid-job? Adds your last change order from the change order maker as a line item, before tax.

1. Your business

2. Customer and job

3. Invoice number and dates

4. Line items and totals

Leave Qty blank for a flat price line, like a trip charge. Units are up to you: ea, hr, sq ft, ln ft, visit, lot.

5. How the customer can pay

This tool doesn't take payments or store card numbers. It only prints what you type here, like who to make a check out to, your Zelle or Venmo, or a card payment link from the processor you already use.

6. Notes and terms

These lines are an example, not legal advice. Rules for invoices, late fees, and interest vary by state and city. If you charge a late fee, it generally needs to be in your written terms before the work starts, and many places limit how much it can be. Check your local rules and change the terms to fit your business.

7. Your invoice

Preview. This is what prints. Empty fields are left off.

8. Send it

Save the invoice as a PDF, then send it with one of these. Your customer's first name, the job, the balance due, your business, and your name are filled in from the invoice. Anything still in [brackets] is yours to finish.

Still unpaid? Make reminders. The free payment reminder maker starts from this invoice and fills in friendly, firm, and final-notice texts with your dates and the balance due.

Still unpaid after the friendly reminder? The payment reminder maker and the payment reminders page have the firm and final versions. For the job-done summary and thank-you texts, see job wrap-up and invoice. After they pay, ask for a review with the free review link and QR code generator. Scope changed mid-job? Put it in writing first with the free change order maker. See all seven on the free tools page.

What a plumbing invoice should include

Every invoice needs your business details, the customer, an invoice number, the dates, the line items, the total, and the balance due. The invoice maker above handles those. These are the lines that matter most for plumbing work:

Sample text to send with a plumbing invoice

Save the invoice as a PDF, then send it with a short text like this one. Step 8 above fills it in from your invoice. Here it is with blanks:

Invoice text (plumbing)Text

Hi [first name], it's [your name] with [business]. Thanks for having us out on [date] for the [job]. Your invoice #[number] is attached: [$], due [due date]. Parts and labor are on separate lines, and the warranty is at the bottom. You can pay [methods]. If you see any drips, call or text [phone].

Tip: Send it the day you finish. Attach the PDF you saved with Print / Save as PDF, and put the ways you take payment where [methods] is.

Before the job, price it with the free estimate maker, and start this invoice from that estimate with one click. If the invoice isn't paid by the due date, the free payment reminder maker starts from it and fills in friendly, firm, and final reminders. More texts for plumbing jobs: plumber text templates.

Quoting the next job? The free plumbing estimate template starts with a sample 50-gallon gas water heater replacement. Edit it, then click "Start from my last estimate" above to turn it into this invoice.

Invoice templates for other trades

Each one starts with that trade's usual line items: HVAC, electrical, handyman, landscaping, house cleaning. See them all on the invoice templates page, or use the blank invoice maker.

Plumbing invoice questions

What should a plumbing invoice include?

Your business name, phone, and license number if your state requires it, the customer and job address, an invoice number and date, and the due date. Then the service call fee, labor, and each part on its own line, a short note on what you found and fixed, any tax, the total, any deposit paid, and the balance due. Finish with your warranty and how the customer can pay.

Should I charge a service call fee on a plumbing invoice?

Most plumbing shops charge one to cover the drive and the first look, often somewhere between $50 and $150 depending on the area. Tell the customer the fee when they book, and put it on the invoice as its own line. If you credit it toward the repair, add a credit line with a minus price, like -89, so the math is easy to follow.

Do I charge sales tax on plumbing parts and labor?

It depends on your state. Many states tax the parts you sell but not repair labor, some tax both, and some treat new construction differently. Check with your state's tax agency or your accountant. The tax rate box here taxes the whole subtotal, so if only parts are taxed where you work, leave it blank and add the tax as its own line.

Can I save this plumbing invoice and use it again?

Yes. Your business details and this invoice stay saved in this browser on this device. Click Print / Save as PDF to keep a copy, or Download as HTML file to save one you can open later. Next time, click Start a new invoice and the invoice number goes up by one.
