Free painting invoice template

A painting invoice that's ready to fill in: prep, walls and ceilings by the square foot, trim by the linear foot, doors, the paint by the gallon, an approved extra on its own line, and the deposit already taken off the balance. The sample is an interior repaint of four rooms with made-up prices, so change them to yours. Edit it here, then print it or save it as a PDF. No signup, and nothing you type leaves your browser.

Below is a working invoice with a sample painting job filled in. Type over anything, add your business details once (they're saved in this browser and shared with the estimate maker), and print it. Jump to what a painting invoice should include or the sample text to send with it.

This invoice starts with a sample painting job. The names are blank and the prices are made up. Change every number to yours, or clear the sample and start blank.

Copies the customer, job, line items, discount, tax, and deposit from the estimate maker in this browser.

Scope changed mid-job? Adds your last change order from the change order maker as a line item, before tax.

1. Your business

2. Customer and job

3. Invoice number and dates

4. Line items and totals

Leave Qty blank for a flat price line, like a trip charge. Units are up to you: ea, hr, sq ft, ln ft, visit, lot.

5. How the customer can pay

This tool doesn't take payments or store card numbers. It only prints what you type here, like who to make a check out to, your Zelle or Venmo, or a card payment link from the processor you already use.

6. Notes and terms

These lines are an example, not legal advice. Rules for invoices, late fees, and interest vary by state and city. If you charge a late fee, it generally needs to be in your written terms before the work starts, and many places limit how much it can be. Check your local rules and change the terms to fit your business.

7. Your invoice

Preview. This is what prints. Empty fields are left off.

8. Send it

Save the invoice as a PDF, then send it with one of these. Your customer's first name, the job, the balance due, your business, and your name are filled in from the invoice. Anything still in [brackets] is yours to finish.

Still unpaid? Make reminders. The free payment reminder maker starts from this invoice and fills in friendly, firm, and final-notice texts with your dates and the balance due.

Got paid? Make a receipt. The free receipt maker starts from this invoice and makes a one-page receipt for cash, check, card, Zelle, or bank transfer, marked paid in full or with the balance remaining, plus a signature line.

Still unpaid after the friendly reminder? The payment reminder maker and the payment reminders page have the firm and final versions. For the job-done summary and thank-you texts, see job wrap-up and invoice. After they pay, ask for a review with the free review link and QR code generator. Scope changed mid-job? Put it in writing first with the free change order maker. See all eight on the free tools page.

What a painting invoice should include

Every invoice needs your business details, the customer, an invoice number, the dates, the line items, the total, and the balance due. The invoice maker above handles those. These are the lines that matter most for painting work:

Sample text to send with a painting invoice

Save the invoice as a PDF, then send it with a short text like this one. Step 8 above fills it in from your invoice. Here it is with blanks:

Invoice text (painting)Text

Hi [first name], it's [your name] with [business]. Thanks for having us paint your home. Invoice #[number] for the [job] is attached: [$] after your deposit, due [due date]. Anything you added during the job is on its own line. You can pay [methods]. Leftover paint is labeled by room for touch-ups. Questions? Call or text [phone].

Tip: Send it the day you finish. Attach the PDF you saved with Print / Save as PDF, and put the ways you take payment where [methods] is.

Before the job, price it with the free estimate maker, and start this invoice from that estimate with one click. If the invoice isn't paid by the due date, the free payment reminder maker starts from it and fills in friendly, firm, and final reminders.

Quoting the next job? The free painting estimate template starts with a sample interior repaint: living room, hallway, and 2 bedrooms. Edit it, then click "Start from my last estimate" above to turn it into this invoice.

Invoice templates for other trades

Each one starts with that trade's usual line items: plumbing, HVAC, electrical, handyman, landscaping, house cleaning, roofing. See them all on the invoice templates page, or use the blank invoice maker.

Painting invoice questions

What should a painting invoice include?

Your business name, phone, and license number if your state requires one, the customer and job address, an invoice number and date, and the due date. Then each room or area with its square footage, prep, coats, trim and doors, the paint in gallons, any approved extras on their own lines, the total, the deposit already paid, and the balance due. Add the colors used, your workmanship warranty, and how to pay.

How do I bill extra work the customer added during a paint job?

Get it approved in writing first, with a short change order that lists the work and the price. Then put it on the invoice as its own line with the change order number, like the closet in the sample (CO-1, $145). The free change order maker on this site makes the change order, and the invoice's "Add an approved change order" button adds it as a line.

Should a painting invoice match the estimate?

The original lines should match what the customer approved, so the invoice is easy to check. Anything that changed goes on its own line: approved extras, a third coat they agreed to, or a credit for a room you skipped. In the sample, the nine estimate lines are unchanged and the only addition is the approved closet.

How do I show the deposit on a painting invoice?

Type it in "Deposit or payments already received." The invoice subtracts it and shows the balance due. The sample took a 25% deposit of $973.50 on a $3,894.00 estimate, so the final invoice of $4,039.00 shows $3,065.50 due.
