Missed-call text-back templates for home-service businesses
You can't answer the phone with your hands in a crawl space. A homeowner with no heat or a leaking pipe usually won't wait, though. If nobody picks up, they call the next name on the list. A short text sent soon after the missed call tells them a real person got the call and gives them something to do while they wait.

What a good missed-call text does
- Says who you are. The caller may have dialed three companies in a row. Your business name tells them which one is texting back.
- Explains why you didn't pick up. "I'm on a job" is honest, and it tells them you do the work yourself.
- Asks for the next step. Ask for what's going on and the address, so when you call back you already know if it's a quick fix, a big job, or outside your area.
Skip the sales pitch, the list of services, and the emojis. They called because they have a problem.
The templates
Missed call during business hoursText
Hi, this is [name] with [business]. Sorry I missed your call, I'm on a job right now. Can you text me what's going on and your address? I'll call you back by [time].
Tip: Only promise a callback time you can hit. If you're not sure, say "within the hour" or "by end of day," and then do it.
Missed call after hoursText
Hi, you've reached [business]. We're closed for the night and will call you back by [time] tomorrow. If this is an emergency ([e.g. no heat, active leak, burning smell]), call [emergency number]. [Optional safety line, e.g. "For a leak, shut off your main water valve."]
Tip: Only include safety advice you'd stand behind. If you're not sure what to say, leave the safety line out and keep the emergency number.
Emergency lines by trade (for the after-hours text)
- Plumbing: "For an active leak, shut off your main water valve."
- HVAC: "If you smell gas, leave the house and call your gas company from outside."
- Electrical: "If you see sparks or smell burning, turn off the breaker if it's safe and call 911 if needed."
- Roofing: "If water is coming in, put a bucket under it and move anything valuable out of the way."
When the caller replies with detailsText
Thanks, [first name]. That sounds like [plain description, e.g. "a clogged main line"]. I can come out [day/time option 1] or [day/time option 2]. Our service call is [$], which covers [what it covers]. Which time works?
Tip: Repeating their problem back shows you read it. Two time choices get a faster answer than an open question. If you need more details first, swap the middle for one or two questions, like "Is the unit running at all, or not turning on?"
When it's not a fitText
Thanks for the details, [first name]. Unfortunately that's outside what we cover. [Optional: "I'd try [referral business], they do good work."] Sorry we can't help this time.
Tip: A referral costs you nothing, and people remember it. Other contractors tend to remember it too.
Habits that make these work
- Save them where your thumbs already are. On an iPhone, look under Settings, General, Keyboard, Text Replacement, and set a short code like "mcx" to fill in the full text. Android keyboards have a similar feature, usually called personal dictionary or text shortcuts.
- Send it from the truck, not at the end of the day. A missed-call text sent hours later doesn't do much.
- Consider an auto-reply, but read it first. Many business phone apps and field-service tools can send a text automatically when you miss a call. Make sure it still sounds like you, and test it by calling your own number.
- Write down the callback time you promised. If you said "by 3," set a reminder for 2:45. The text only helps if the callback happens.

AI prompt: missed-call text-back in your voiceAI prompt
Write a text I can send right after I miss a call from a new number. It should say who we are, that I'm on a job, and ask them to reply with what they need and their address so I can call back with an answer. Under 40 words. Then write a second version for after hours that says when we'll call back: [e.g. "by 8 a.m."], and what to do if it's an emergency: [e.g. "call our emergency line at ___" / "shut off the main water valve and call ___"].
Tip: Read what comes back. Make sure the AI didn't add promises you don't make, like same-day service or a price.
