How to reply to Google reviews: 5-star, mixed, and 1-star

Replies are public. The reviewer reads them, and so does every future customer scrolling your profile. A good reply shows a real owner is paying attention. Keep it short, mention one real detail, and don't paste the same reply under every review.

5-star reviews

5-star, short and specificReview reply

Thanks, [first name]! Glad [the specific thing they mentioned] worked out. We appreciate you trusting us with your [home / system / yard].

Tip: Mention one real detail from their review so it reads like a person wrote it.

5-star, they named your techReview reply

Thank you, [first name]! I'll make sure [tech first name] sees this. [He / She] takes a lot of pride in [the work / leaving things clean], and it means a lot that you noticed.

Tip: Use the tech's first name only, and only when the customer named them first.

5-star, stars onlyReview reply

Thanks for the 5 stars, [first name]! We appreciate you taking the time.

Tip: Change a word or two each time so your replies don't look automated.

4-star reviews

4-star, no complaint mentionedReview reply

Thanks, [first name]! We're glad [the job] went well. If there's anything we could have done better, I'd like to hear it. You can reach me at [phone].

Tip: A 4-star review is a good review. Thank them and leave the door open.

4-star, timing issueReview reply

Thanks for the review, [first name], and for the honest note about [the arrival window]. You're right, we were later than we said, and that's on us. We've [started sending on-my-way texts] because of feedback like yours.

Mixed reviews (3 or 4 stars with a complaint)

Mixed, good work and a rough experienceReview reply

Thanks for the honest feedback, [first name]. Glad [positive thing they mentioned] went well, and I'm sorry about [issue they raised]. I'd like to hear more so we can do better. Please call me at [phone].
[Your name], owner

Tip: Name the good part, own the issue, and offer to talk. Save the explaining for the phone call.

Mixed, not fixed on the first visitReview reply

Thanks, [first name]. I'm sorry it took [two visits] to get [the problem] sorted out. That's frustrating, and I understand why it cost us a few stars. Glad it's working now. If anything comes back, call me directly at [phone].

Tip: Keep it short. Future customers mostly want to see that you owned it.

1-star and 2-star reviews

Negative, generalReview reply

[First name], I'm sorry your experience wasn't what you expected. That's not the standard we hold ourselves to. I'd like to understand what happened and make it right where I can. Please call me directly at [phone].
[Your name], owner

Tip: Wait an hour, or sleep on it, before you reply. Keep it calm and short, and move the conversation to the phone.

Negative, late or no-showReview reply

[First name], you're right to be frustrated. You set aside your [morning] and we didn't show up when we said we would. I'm sorry. I'd like to apologize directly and get you taken care of. Please call me at [phone].
[Your name], owner

Tip: Only admit what actually happened. If you're not sure yet, use Negative, general.

Negative, damage claimReview reply

[First name], I'm sorry to hear about [the issue you described]. We take any concern about damage seriously, and I want to look into it properly. Please call me directly at [phone] so we can go over the details.
[Your name], owner

Tip: Don't admit fault or promise payment in a public reply. Gather photos and job notes, and talk to your insurance agent before you agree to anything. This is general guidance and isn't legal advice.

If you believe a review is fake or breaks Google's policies, for example it's from someone who was never a customer, you can report it through your Business Profile. Don't threaten the reviewer.

Not legal advice: in a public reply to a damage claim, don't admit fault or promise payment. Gather photos and job notes, and talk to your insurance agent before you agree to anything.
